Tremendous Costs of Paper – Not Just Paper

 

In virtually any body shop in North America, you will see dollars lying all around in the form of paper. Duplicate copies of Estimates, Invoices, Repair Orders, copies of documents that are already saved in the computer, copies that you did not know already exist, copies that you did not need and were made in error and on and on and on…… The cost involved in this is tremendous. It is not only the cost of the actual physical paper that was used, from some poor tree somewhere, and the toner that is made out of God knows what, but also the time that has accumulated on top of that paper as extra cost.

 

Here are a few facts when it comes to the costs of paper:

 

Ø  The CAP Venture Group identified that the number of pages being printed and consumed in offices in the United States is going up at a rate of 20% per year.

Ø  The CAP Venture Group also estimates that 80% of the information that is being printed is ALREADY being stored in a computer or network.

Ø  The GARTNER Group states that businesses now manage 30 times more data than 1999.

Ø  The GARDNER Group also found that each office employee wastes up to 8 hours per week as a result of information management and delivery inefficiencies.

Ø  They also documented that a “typical” office employee spends 40% of their time “looking’ for information, 500 hours per year reviewing and distributing files, and another 150 hours per year looking for misfiled documents. 

Ø  It costs more than $800.00 per year to maintain a 5 drawer filing cabinet and more the $25,000 to fill one.

Ø  It costs almost $20.00 to file a document, $120.00 to search for a misfiled document, and almost $250.00 to recreate a lost document.

Ø  Every piece of paper produced in a collision repair business costs 2.118 cents

Ø  Every file jacket created, filled, distributed, maintained, and filed costs $48.77.
